Summary 

The Payroll and Benefits Manager oversees the accurate and timely processing of payroll and administration of employee benefits. This role ensures compliance with regulations, maintains payroll and benefits records, resolves complex issues, and supports system updates and audits. The Manager also serves as a key contact for employee inquiries and works closely with internal teams and vendors to improve processes and support organizational goals.

Primary Responsibilities: 

Payroll Operations

  • Manage end-to-end U.S. payroll processing for multiple pay groups with different pay frequency cycles using ADP Workforce Now.
  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • Complete periodic payroll tax filings, garnishments, benefits deductions, and year-end reporting.
  • Lead payroll audits and ensure accurate documentation and reporting.
  • Stay current with changes in payroll legislation and best practices.
  • Update payroll policies and procedures to improve efficiency and compliance.
  • Review and amend as payroll configuration, earnings/deductions, tax profiles, and direct deposits in ADP Workforce Now as required.
  • Reconcile payroll data, wage garnishments, and payroll tax filings in ADP Smart Compliance Portal.
  • Coordinate with FGF HRIS team to ensure seamless data transfer between TMC (SAP SuccessFactors) and ADP.
  • Support Finance/Central Accounting to reconcile payroll-related general ledger accounts and support on ad hoc requests.
  • Complete Unemployment Claims
  • Review and submission for approval for Payroll and Benefit related invoices

Benefits Management

  • Administer and manage health, dental, vision, life, disability, and 401(k) benefit plans through Employee Navigator and Fidelity.
  • Coordinate annual open enrollment and wellness campaigns.
  • Ensure accurate and timely eligibility tracking, enrollments, COBRA, and life event processing.
  • Support Team on completing required reporting, filings, and plan audits.

Payroll and Benefits Process Optimization

  • Develop and document standardized procedures and ensure internal controls are in place.
  • Maintain process Run Book and revise as needed.
  • Maintain tracking of Key Performance and Key Risk indicators and present to Leadership monthly.

Leadership & Collaboration

  • Providing guidance, training, and performance management of the Payroll and Benefits Team
  • Serve as the escalation contact for complex payroll or benefits issues. Resolve any escalation of Team Member payroll inquiries in a timely and professional manner.
  • Collaborate cross-functionally with internal (T&D, HRIS, Finance, and Operations) and external (Vendor, Consultant) Teams.
  • Educate Team Members on benefits offerings and payroll practices, delivering timely and empathetic support.
  • Collaborate on Management of Team Member leaves and requests for leaves.
  • This role requires occasional travel to U.S. sites and travel to Canada as needed.

Required Experience: 

  • Degree in Human Resources, Finance, Accounting, or related field.
  • 5+ years of payroll and benefits experience in a multi-state U.S. environment with 2+ years leading a Team.
  • Hands-on expertise with ADP Workforce Now and SAP SuccessFactors.
  • Strong knowledge of U.S. payroll laws, benefits compliance, and reporting requirements.
  • Proficient in Microsoft Excel specific to Payroll/Benefit data analysis.
  • Detail-oriented with strong analytical and auditing skills.
  • Ability to prioritize and meet strict deadlines.
  • Excellent communication, interpersonal, and conflict-resolution skills.
  • High level of discretion and commitment to confidentiality.
  • Proactive problem-solving and process improvement mindset.
  • Strong leadership and ability to growth the capabilities of the Payroll and Benefit Team.
  • Certification from Payroll Org. Preferred
